Hire Terms
Extension of Hire
It is vital that vehicles are brought back on time. The hire period ends at 8am. We are always happy to extend the hire if we can, but the hirer must ring before the hire ends to check if the vehicle is available. Failure to return on time may delay another customer and charges will apply.
Identification
Additional ID will be required besides the driving licence as credit cards alone are not acceptable as a form of ID. Identification showing the hirer/driver’s current name and address is required. Failure to provide an additional proof of address will either have the hire declined or a 3rd party check may be provided at an extra charge.
Hirers that are visiting from outside of the UK will need to bring additional ID with their licence if they can’t provide proof of address i.e Valid Passport, International licence, etc
Photo Capture
When hiring for the first time we will require a photograph of each driver to be taken and stored against your customer record. This photo will be taken at our office when collecting for the first time, however, we may require updates to this photo over time. The photo is stored for future identification, insurance purposes and in the event of a Police investigation/inquiry to confirm the hirer.
When taking the photo we will ask the hirer to remove any fashion accessory’s that prevent the full view of the face or hair unless the scarf or head piece cannot be removed due to medical or religious reasons. These are based on the same rules applied by the government for passport photos.
Driving Licence
Hirers must have held a full licence for at least 12 month. On minibuses or 7.5 tonne cargos the minimum is 5 years. Please check all endorsements with our office when booking as some endorsements are not acceptable on our insurance. The New UK licence now only comes as one part (photo card licence) and needs to be checked online by providing your DVLA licence code or printing a summary of your licence from the DVLA website CLICK FOR DVLA SITE
Non-UK Driving Licence
Please see the Direct.gov website for more details on driving in the UK with a foreign licence. We will not be able to validate a driving licence if it is not readable by an English speaking member of staff – for example, a licence that use’s only non-western characters may not be accepted if they do not have the full data that can be easily understood. Please contact your preferred pickup branch in advance for clarification and confirmation of eligibility.
Age
We accept drivers aged 25-70yrs with a clean licence. If you are between 21-24 or 70-75 or have certain endorsements on your licence it may still be possible to hire if arranged with the branch prior to pick up. The deposit and excess on the insurance will be increased.
Fuel
The fuel gauge reading is recorded on your hire contract and we ask you to return with the same amount of fuel at the end of your hire. Sorry, but there are no refunds on extra fuel.
Cancelling your booking
We recognise that some travel plans may change. We can therefore offer to move your booking to another date in the future without charge. If you wish to cancel your booking you will be charged a third of the cost of the booking unless it is cancelled within 24 hours of the booking being made. Bookings cancelled 24hrs before the day of collection will lose full payment.
Bookings cancelled within a week of collection for busy holiday periods (Bank Holidays, Easter holiday or over Christmas holiday) will not receive a refund if cancelled and cannot be deferred to another date due to the business costs involved in planning and purchasing vehicles for these key holiday periods. We would recommend that you arrange an independent travel insurance to cover for these eventualities during the uncertainty from any government travel restrictions.
If we have to cancel your booking due to events beyond our control we will attempt to offer you an alternative vehicle or an alternative collection / delivery location or we will provide a full refund.
Availability
We make every effort to supply the vehicle that is booked, or an acceptable substitute at the time, but cannot accept liability for the consequences of our failure to do so.
Insurance
The price quoted includes full and comprehensive insurance for use in England Wales and Scotland for all drivers listed on the hire agreement. This is included in the price paid upon collection. Additional insurance costs will apply for EU and Northern Ireland.
Collison Damage Waiver (CDW)

Payment
We accept Visa & MasterCard credit cards or Visa debit cards for the hire & deposit in the hirer’s name (main driver). We do not accept PAY-AS-YOU-GO cards, Electron cards or Metro Mastercards for the returnable deposit. (Online payments using Monzo cards can take up to 28 days to credit back into your card for unknown reasons)
Contract Hire & Leasing
We can quote lease hires to business customers and also offer flexi-lease options to bookings over 6 months. Please contact 01252 235350 for quotes and ask for Chris or click on the red business link.
Operators Licence
If hiring a 7.5 tonne (gross weight) vehicle for business use, the hirer is required to have an operator’s licence.
Airports
We offer a ‘Meet & Greet Service’ at Heathrow or Gatwick airport. We actually meet you at the terminal, help with baggage, take you to the car in the short term car park and you can either take the vehicle direct from the airport OR we will bring you to the branch to take the vehicle from there. A charge is made according to the time of day and type of collection/return.
Quality Support
All vehicles have full breakdown and recovery assistance and in addition we have our own 24 hour emergency number. Charges apply for fault claims i.e. tyres, flat battery, fuel, RTA, Adblue, etc.
Vehicle Return
At most branches vehicles can be dropped off out of hours (apart from the South Wimbledon branch), please speak to the branch you are booking from to confirm details.
Additional Drivers
Each additional driver after this is charged at £4.50 per driver per day. Each driver must complete a insurance proposal form and produce their licence with a licence check code (UK licence). Each driver will need to come to a branch to be added to our booking system to be validated on our company insurance. Failure to be listed on the hire contract will result in the driver being uninsured and possibly prosecuted.
Continental Hire
Trips to Europe and Non UK Mainland are easy to arrange, but will cost extra and require additional documents – please call your local branch for full information. Green cards can take 48 hours to organise.
Note: We can ONLY cover vehicles that are used in the UK with our breakdown assistance. Vehicles taken abroad MUST arrange FULL 5 Star breakdown cover with either the AA, RAC or Greenflag. Cover must provide roadside assistance, recovery back to the UK and provide a suitable replacement vehicle to continue your journey. Additional rental insurance must also be added along with our permission to take the vehicle overseas. Failure to do so may cause the vehicle to be stopped, impounded, seized and additional costs charged. Please call your local branch to arrange and have a quote provided.
Northern Ireland
If you intend travelling to Northern Ireland please inform us at the point of booking as extra insurance charges will apply.
Routine Checks
Hirer’s are responsible for daily checks on oil, water, tyres, Adblue levels and lights. For long term hires please bring the vehicle into your local branch for a check over if you are unsure.
United Rentals
We are part of a group of 600+ independent rental companies across the UK. Corporate customers can find the same service throughout the UK if their look for the United Rental Group signage.
Price Changes
Management reserve the right to adjust prices without prior notice. Prices may vary between different branches. Quotations are only valid for 7 days.
Terms

TIPS FOR VISITORS TO THE UK
When driving in England please be aware of;
- parking restrictions; we use single and double yellow lines to indicate parking restrictions or double red lines within the Transport for London jurisdiction – read any signs in car parks to ensure you are fulfilling all requirements.
- Box junctions (painted yellow hatching’s usually on traffic lights and road intersections), it is an offence to enter and stop in a box junction, try to make sure your exit is clear before entering the hatching’s.
- Tolls which are payable by phone or via the internet if using for instance the Dartford Crossing OR the Mersey flow bridge.
- Signs restricting vehicle access or use (for example in many towns/city’s we have lanes that are signed and marked as only for buses).
- CONGESTION ZONE: If you drive into London there is a daily charge that must be paid, please see www.tfl.gov.uk for a map of the Congestion Charging zone and charges.
- Speed Limits: Please be aware of speed limits, most towns and villages are 20-30 miles per hour and the national speed limit on Motorways is 70 MPH (if you have a large van speed limits wil be lower).
Enforcement cameras do cover all these areas and you will be subject to a fine should you not comply with these regulations and we would apply an administration charge for any paperwork we have to process in regard to any penalties incurred.
